Overview
The Ministry of Education is responsible for managing one of New Zealand's largest and most significant public asset portfolios, supporting thousands of schools and learners across the country.
To strengthen oversight, improve operational efficiency, and support long-term planning, the Ministry partnered with Tribal to create a more connected and comprehensive approach to managing school property assets nationwide.
The Challenge
Managing a large and geographically dispersed property portfolio requires access to accurate information, consistent processes, and clear visibility across assets, projects, maintenance activities, and costs.
The Ministry sought to:
- Establish a single, reliable source of property information.
- Improve visibility across school assets and infrastructure projects.
- Support effective management of maintenance, investment, and risk.
- Streamline processes across regions and stakeholders.
- Enhance reporting and decision-making capabilities.
- Improve collaboration between schools, property managers, and the Ministry.
The goal was to create a more connected approach to property portfolio management while supporting greater consistency and accountability at a national level.
The Solution
Working in partnership with Tribal, the Ministry implemented an integrated asset management solution designed to centralise property information and support the management of school infrastructure across New Zealand.
The solution provides a comprehensive view of the Ministry's property portfolio, bringing together critical information relating to assets, projects, maintenance programmes, leases, valuations, and operational costs.
By integrating with existing business systems and supporting standardised processes, the platform enables stakeholders across the organisation to access reliable information, collaborate more effectively, and make more informed decisions.
The solution also provides self-service capabilities that improve transparency and enable users to track project activity, helping reduce administrative effort and improve responsiveness.
The Results
-
A single view of the school property portfolio
The Ministry now benefits from a centralised source of property information, providing greater visibility across assets, projects, maintenance activities, and investment programmes.
-
Improved governance and decision-making
Access to accurate and consistent information supports more effective planning, prioritisation, and oversight of school infrastructure investments.
-
Greater operational efficiency
Standardised processes and improved access to information help reduce administrative effort and support more efficient management of property-related activities.
-
Enhanced collaboration
Schools, property managers, and Ministry teams have greater visibility of project information and progress, improving communication and stakeholder engagement.
-
Stronger portfolio management
The integrated platform supports proactive management of assets, costs, maintenance requirements, and risk, helping ensure school infrastructure continues to meet the needs of learners and communities across New Zealand.
“The K2 implementation has been a success, and we’re looking forward to seeing the efficiency gains and financial savings of having an integrated asset management system, with a holistic view of school projects.“
